2. Information We Collect
We collect information in two ways — information you give us directly, and information collected automatically when you use our website.
Information you provide directly:
- Your name and business name when you book a discovery call, complete our contact form, or reach out by email or phone
- Your email address and phone number for communication and follow-up purposes
- Business information you share during consultations, onboarding, or the delivery of our services
- Payment and billing information processed through our invoicing system — we do not store payment card details directly
Information collected automatically:
- Basic website analytics — pages visited, time on site, and general geographic location (country or region level only)
- Device type and browser used to access our website
- IP address, used for security purposes and aggregate analytics only
3. How We Use Your Information
We use the information we collect to:
- Respond to your enquiries and schedule discovery calls
- Deliver the consulting services you have engaged us for
- Send invoices and process payments
- Communicate with you about your engagement — updates, reports, and check-ins
- Improve our website and service offerings based on aggregate usage patterns
- Meet our legal and regulatory obligations under applicable Canadian law
We do not sell your personal information to any third party. We do not use your information to send unsolicited marketing communications without your consent.
4. Legal Basis for Processing — Canadian Residents
We collect and use your personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation in Ontario.
Our legal basis for collecting your information is:
- Consent — when you contact us, book a call, or engage our services, you consent to the collection and use of your information as described in this policy
- Contract — to deliver the services you have contracted with us under a signed Client Service Agreement
- Legitimate interest — to operate our business responsibly, prevent fraud, and improve our services
5. Legal Basis for Processing — US Residents
If you are located in the United States, we collect and use your information based on your consent when you contact us or engage our services. Taskflo Synx provides business-to-business consulting services and does not target consumers or minors.
We respect your rights to access, correct, and request deletion of your personal information at any time. To exercise these rights, contact us at info@taskflosynx.com.
We do not currently operate in jurisdictions that require specific state-level privacy registrations at our scale, but we monitor applicable US privacy legislation and update our practices accordingly.
6. How We Store and Protect Your Information
Your information is stored using reputable, industry-standard cloud-based platforms that maintain strong security controls, including encryption of data at rest and in transit, role-based access controls, and regular security monitoring. We apply two-factor authentication, strong credential management, and least-privilege access principles across all systems that store client data.
We retain your information for as long as necessary to deliver our services and meet our legal and regulatory obligations — typically for a period of seven years following the end of an engagement, in accordance with Canadian tax and records requirements. When information is no longer required, it is deleted or anonymized.
Sub-processors: We use a limited number of trusted third-party service providers to operate our business — including platforms for communication, document management, accounting, and scheduling. These providers are selected for their security standards and are contractually bound to protect your data. A current list of our active sub-processors is available upon request at info@taskflosynx.com.
No method of electronic storage or internet transmission is completely secure. While we take reasonable and appropriate steps to protect your personal information, we cannot guarantee absolute security against all threats.
7. Who We Share Your Information With
We do not sell, rent, or trade your personal information to any third party.
We may share your information only in the following limited circumstances:
- Service providers — third-party platforms we use to operate our business, such as cloud productivity tools, accounting software, and scheduling systems. These providers act as data processors on our behalf and are not permitted to use your information for their own purposes.
- Legal requirements — if required by applicable law, court order, regulatory authority, or government body.
- Business transfers — in the event of a merger, acquisition, or sale of business assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
- With your consent — in any other circumstance where you have given us explicit written permission to share your information.
8. Cookies and Website Analytics
Our website may use basic analytics tools to understand how visitors use the site and to improve our content and user experience. This may involve the use of cookies — small text files stored on your device by your browser.
We do not use advertising cookies, third-party tracking pixels, retargeting tools, or behavioural profiling of any kind. Any analytics data we collect is aggregated and used solely for internal improvement purposes.
You can disable or delete cookies at any time through your browser settings. Disabling cookies will not affect your ability to access or use our website.
9. Your Rights
Subject to applicable law, you have the right to:
- Access the personal information we hold about you and receive a copy of it
- Request correction of any inaccurate or incomplete information
- Request deletion of your personal information, subject to our legal retention obligations
- Withdraw your consent at any time — this does not affect the lawfulness of processing carried out before withdrawal
- Lodge a complaint with the Office of the Privacy Commissioner of Canada (OPC) at priv.gc.ca if you believe your privacy rights have been violated
To exercise any of these rights, please contact us at info@taskflosynx.com or (647) 512-7224. We will acknowledge your request within 5 business days and respond fully within 30 days.
10. Third-Party Links and External Platforms
Our website contains links to third-party websites and platforms — including our online booking system and any tools we reference in our content. Once you navigate away from taskflosynx.com, this Privacy Policy no longer applies.
We are not responsible for the privacy practices, security, or content of any external website. We encourage you to review the privacy policy of any third-party platform before submitting personal information to it.
11. Children and Minors
Taskflo Synx provides business-to-business consulting services. Our website and services are directed exclusively at business owners and adult professionals. We do not knowingly collect personal information from anyone under the age of 18.
If you believe that a minor has submitted personal information to us through our website or contact channels, please notify us immediately at info@taskflosynx.com and we will delete that information promptly.
Note for swim school and similar clients: While some of our clients serve children as their end customers, Taskflo Synx's direct relationship is with the business owner only. We do not collect, access, or process any information about our clients' customers — including minors — unless explicitly required as part of a contracted engagement and with appropriate consent in place.
12. Data Transfers Outside Canada
We serve clients in both Canada and the United States. Your information may be stored or processed on servers located outside your country of residence. Where this occurs, we ensure that appropriate safeguards are in place consistent with PIPEDA and applicable privacy legislation.
By using our website or engaging our services, you acknowledge that your information may be transferred to, stored in, or processed in jurisdictions other than your own.
13. Changes to This Policy
We review this Privacy Policy periodically and update it when our practices change in a material way — for example, if we begin collecting a new type of personal information, enter a new jurisdiction, or if applicable privacy laws change.
Minor operational changes — such as switching between service providers within the same category — do not require a policy update. When material changes are made, we will update the "Last updated" date at the top of this page. For significant changes, we will provide more prominent notice.
Continued use of our website or services after changes are posted constitutes your acceptance of the updated policy.
